Build a weighted sales forecast in Zoho CRM

The Zoho CRM AI Assistant lists the deals set to close this month or quarter with amount, probability and expected revenue, totaled by owner, and flags the ones worth checking. It only reads; nothing in your CRM changes.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

The forecast adds up numbers nobody has checked

The quarter’s forecast is the sum of what the deals say. Some of them had a closing date last month and are still open. Others sit at an early stage with a probability someone set far above what the stage suggests. Finding those means opening the deals one by one before you trust the total.

the solution

Ask for the forecast and the deals to check

Name the period:

Which deals are set to close this quarter? Show amount, probability and expected revenue, totals by owner, and flag deals whose closing date has passed or whose probability does not match the stage.

The assistant reads the open deals with a Closing Date in the period, shows each one’s Amount, Probability and Expected Revenue (the Zoho CRM field that weights the amount by the probability), and totals them by Deal Owner.

It also flags two kinds of deals for review: open deals whose closing date has already passed, and deals whose probability differs from the one your pipeline sets for their stage. You decide what to do about them; it changes nothing.

  • Reads deals: Stage, Amount, Probability, Expected Revenue, Closing Date, Deal Owner, and your pipeline’s stages.
  • Writes nothing.
  • It does not predict which deals will close. The forecast is what the deals’ fields say, and no more.

How to do it by hand in Zoho CRM

You can do this in Zoho CRM yourself. Here are the steps.

  1. Open Reports and create a report on the Deals module.
  2. Filter it to open deals with a Closing Date in the period.
  3. Add Amount, Probability and Expected Revenue, and group by Deal Owner with sums.
  4. Build a second view for open deals with a Closing Date before today.
  5. Compare each deal’s probability with its stage by eye.

The totals are easy. Checking which deals behind them are out of date is the slow part, deal by deal.

Frequently Asked Questions

Will it change my deals?

No. It reads deals and shows the forecast and the flags. It does not move closing dates or correct probabilities. If you want to fix a deal, ask for that change separately and approve it.

What is expected revenue?

A standard Zoho CRM field on Deals: the amount weighted by the deal’s probability. The assistant reads the value Zoho stores; it does not compute its own.

What does “probability does not match the stage” mean?

Each stage in your pipeline has a default probability. A deal is flagged when its Probability differs from that default, for example a high probability on an early stage. Some teams change probabilities on purpose; the flag only says it is worth a look.

Does it predict which deals will close?

No. It reports the amounts, probabilities and closing dates your deals hold. It does not score deals or forecast beyond the recorded fields.

Can it be wrong?

The forecast is as current as the deals. A deal that was lost but never marked lost still counts. If your organization uses several pipelines with different probabilities, name the pipeline in your request so each deal is compared with the right stages.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
