Review lost deals by reason in Zoho CRM

The Zoho CRM AI Assistant groups the deals lost in a period by loss reason, by the stage they were lost at and by owner, and lists the ones with no reason recorded. It only reads, unless you ask it to save a note of what you conclude.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

You know deals were lost, not why or where

Last quarter’s lost deals are in the CRM, but the loss reason is filled in on some and blank on others, and the stage shows “Closed Lost” on all of them. To see whether deals die at proposal or at negotiation, and with which rep, you open each one and read its history.

the solution

Ask for the review, read the pattern

Name the period:

Review the deals we lost last quarter. Group them by loss reason, by the stage they were lost at and by owner, and list the ones with no reason recorded.

The assistant reads the deals marked Closed Lost in the period. It groups them by the loss reason your organization records (Zoho CRM’s Reason For Loss field, or a custom field you name) and by Deal Owner. For the stage each deal was lost at, it reads the deal’s change history and takes the stage it held before it was marked lost.

It then lists the lost deals with no reason recorded, so you can ask the owners. If you want to keep what you concluded, such as “price losses are mostly at Proposal”, it can save it as a note the assistant uses in later requests, after you approve.

  • Reads lost deals, their loss reason, owner and amount, and each deal’s audit timeline.
  • Writes nothing, unless you ask it to save a note and approve it.
  • If your organization does not record a loss reason, it groups by stage and owner only and says so.

Frequently Asked Questions

Will it change my deals?

No. It does not fill in missing loss reasons or edit lost deals. The only thing it can write here is a saved note for the assistant, and only after you approve.

What does it read in my CRM?

Deals marked Closed Lost in the period you name, by Closing Date unless you say otherwise: their Reason For Loss or the field you name, Deal Owner, Amount, and each deal’s audit timeline for the stage before the loss.

How does it know the stage a deal was lost at?

From the deal’s audit timeline, which records each stage change. It takes the stage the deal held just before Closed Lost. If the history does not show it, for example for an imported deal, it says so for that deal.

What if my team does not record a loss reason?

Then it cannot group by reason. It shows the lost deals by stage and by owner, and lists them so you can ask the owners. Some teams then make the field mandatory on lost deals with a layout rule.

Can it be wrong?

It reports the reason as it was recorded. A rep who always picks the first reason in the list makes that reason look common. For a long period it reads many deal histories, so start with a month or a quarter.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
