Show the Zoho CRM pipeline by stage and owner

The Zoho CRM AI Assistant shows the number and total amount of open deals by stage and by owner for the period you name. It only reads, and saves the same deals as a public custom view if you ask and approve.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

The pipeline report shows totals but not the split you need today

Today you want open deals closing this quarter by stage and by rep. Next week it is by closing month for one team. Each split means another report or another set of filters, and the numbers rarely answer the follow-up question before the meeting starts.

the solution

Ask for the split, read the totals

Type the period and the split you want:

Show open deals closing this quarter by stage and by owner, with the deal count and total amount for each.

The assistant computes the count and the sum of Amount for the open deals that match, grouped by up to three fields, such as Stage, Deal Owner and Lead Source. It lists the rows by stage, and you can ask the next question straight away: “only Lena’s deals”, “by lead source instead”, “which deals make up Negotiation?”

If you want the team to open the same deals in Zoho CRM, ask it to save them as a public custom view. It shows the view’s name and criteria first and creates it only after you approve.

  • Reads deals: Stage, Amount, Closing Date and Deal Owner, or any other field you group by.
  • Writes nothing, unless you ask for a public custom view and approve it.
  • Totals cover the deals your Zoho profile can see, and a breakdown into very many rows asks you to narrow the filter.

How to do it by hand in Zoho CRM

You can do this in Zoho CRM yourself. Here are the steps.

  1. Open Reports and create a summary report on the Deals module.
  2. Filter it to open stages and the closing dates you want.
  3. Group it by Stage, then by Deal Owner, and add the sum of Amount.
  4. Run it, and save a copy for each other split you need.

The report is reusable once it exists. It gets slow when every meeting asks for a different split, period or team.

faq

Frequently Asked Questions

Will it change my deals?

No. It reads deals and shows totals. The only thing it can create here is a public custom view of the same deals, and only if you ask and approve.

What does it read in my CRM?

Your deals and the fields you group or filter by: usually Stage, Amount, Closing Date and Deal Owner. It works from the values your deals hold now.

Which fields can I group by?

Up to three fields at once from the Deals module, such as stage, owner, lead source, type or a custom picklist your organization uses.

Can it be wrong?

The totals are as good as the deals behind them. A deal with an old closing date or an amount nobody updated is counted as it stands. Ask “which deals make up this row?” before you rely on a number.

What does the custom view contain?

A list of the matching deals with the columns you name, saved as a public view in the Deals module so colleagues can open it. A custom view lists records; it does not show totals.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
