Exclude current customers from a Zoho CRM prospect list

The Zoho CRM AI Assistant builds a prospect list that leaves out contacts at accounts with a Closed Won deal, or another rule you give, and shows how many it excluded. Once you approve, it tags the list or saves it as a custom view.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

The prospect offer reaches people who already pay you

A launch offer for new customers goes to the whole contact list, including the account you closed last month. Taking customers out means checking each contact’s account for a won deal, and the contact export does not have that column.

the solution

Say who counts as a customer, see who is excluded

Describe the list and the rule for leaving people out:

Contacts in the UK for the new-customer offer. Leave out anyone whose account has a Closed Won deal in the last two years. Show how many you excluded and a few examples.

The assistant reads the contacts, their accounts and the Deals on those accounts. It shows how many contacts it kept and how many it excluded, with examples of each and the reason: the account, and the won deal it found.

You can use another rule instead, such as Account Type is Customer. When you approve, it adds a tag to the kept contacts, or saves them as a public custom view if the rule fits a view’s filters. It says when the rule does not fit one.

  • Reads contacts, accounts and deals.
  • Adds a tag or creates a custom view only after you approve.
  • A customer whose won deal sits on a different account, or was never recorded as a deal, stays on the list.

Frequently Asked Questions

Will it change my records?

It adds one tag to the kept contacts, or creates one public custom view, after you approve. Deals, accounts and contact fields are not edited. It tags up to 100 contacts per approval, so a longer list goes in batches, and tagging more than 20 at once asks for a final confirmation.

What does it read?

Contacts, the account each one is linked to, and the deals on those accounts with their stage and closing date. It reads only what your CRM holds.

What counts as a current customer?

By default, a contact whose account has a deal in a Closed Won stage. You can narrow it, for example to deals won in the last two years, or use a field you keep, such as Account Type.

Tag or custom view: which should I pick?

A tag is a label on each record and suits a one-off send. A custom view keeps the filter, so it stays current as deals close, but the assistant only creates public views, which everyone in your org can see.

Can it be wrong?

It works from the deals your CRM recorded. A customer billed outside Zoho CRM, or a contact linked to the wrong account, is not excluded. Look through the examples it shows before you approve.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
