Restore deleted records in Zoho CRM

The Zoho CRM AI Assistant lists records deleted from a module in the last 60 days, with who deleted them and when. Once you choose, it puts the records back exactly as they were.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

A batch of leads is gone and you need them back

Someone cleaned up a list and took live records with it. You know roughly when it happened and in which module, but the recycle bin shows everything mixed together, and picking the right records out of it takes time.

the solution

Find what was deleted, choose, restore

Name the module and the time. For example:

Show leads deleted in the last two weeks, with who deleted them and when.

It reads Zoho’s deletion history for that module and lists each record still in the recycle bin with its name, who deleted it and when. You can narrow the list, for example to the records one person deleted on one day.

When you choose which to restore, it shows the list and puts those records back after you approve, up to 100 per request. A restored record returns to its module exactly as it was when it was deleted.

Records deleted more than 60 days ago cannot be restored. Zoho removes them from the recycle bin for good, and nothing, including the assistant, can bring them back.

  • Reads the deletion history and recycle bin for the module you name.
  • Restores only the records you approve.
  • After 60 days a deleted record is gone; restoring it fails and the assistant says so.

How to do it by hand in Zoho CRM

You can do this in Zoho CRM yourself. Here are the steps.

  1. Open the Zoho CRM Recycle Bin.
  2. Filter by module and find the records by name, deleted by and deleted time.
  3. Select the records you want and restore them.

It gets slow when the recycle bin holds many records from several people and you need to pick out one batch.

faq

Frequently Asked Questions

Will it change my records?

It restores only the records you approve, and nothing else. Records still in your modules are not touched.

Can it recover records deleted more than 60 days ago?

No. After 60 days Zoho removes deleted records for good, and no tool can restore them. The assistant can still show who deleted them and when, while Zoho keeps that history.

Do restored records come back with their data?

Yes. A restored record returns to its module as it was when it was deleted.

Can it be wrong?

It works from Zoho’s deletion history. If you ask for “last week” and the records were deleted earlier, they are not in the list; widen the dates. A record that cannot be restored, for example because its 60 days have passed, is reported by name.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. Reading deletion history also needs a profile allowed to see it. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
