Delete test records in Zoho CRM

The Zoho CRM AI Assistant finds test records by the rule you give, such as a test email domain or a Test tag, and shows you the exact list. After a final confirmation it moves them to the recycle bin, where they can be restored for 60 days.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

Test records are still in the pipeline

During setup someone created leads to try a web form, a workflow and an import. Months later they still show up in views and reports. Nobody deletes them because it is not clear which are test records and which are real, and a mass delete feels risky.

the solution

Give the rule, check the list, confirm

Say what makes a record a test record. For example:

Find leads with an email at test.example or the tag Test. Show me the exact list, then delete them after I confirm.

It finds the records that match your rule, in the module you name, and shows the exact list with the reason each one matched. Read it and remove any record you want to keep.

When you approve, it moves those records to the recycle bin, up to 100 per request. Deleting asks for a final confirmation. Workflow rules that run on deletion run for these records too.

The records stay in the recycle bin for 60 days and can be restored exactly as they were. After 60 days they are gone for good.

  • Reads the module you name and the fields in your rule.
  • Moves records to the recycle bin only after you approve and confirm.
  • It deletes only what matches your rule; it does not decide on its own what looks like a test.

How to do it by hand in Zoho CRM

You can do this in Zoho CRM yourself. Here are the steps.

  1. Open the Leads module and create a custom view with your rule, for example Email contains the test domain.
  2. Check the list.
  3. Select the records and delete them.
  4. Repeat for each rule and each module.

It gets slow when test records match more than one rule, or sit in several modules, because each rule needs its own view.

faq

Frequently Asked Questions

Will it delete anything I did not approve?

No. It deletes only the records in the list you approve, and asks for a final confirmation first. Records that do not match your rule are not touched.

Are the records deleted permanently?

No. They go to the Zoho CRM recycle bin and stay there for 60 days, when the assistant can restore them exactly as they were. After 60 days Zoho removes them for good.

What rules can I give?

Any condition on the module’s fields, such as an email domain, a tag, a name that starts with “Test”, an owner, or a created date. You can combine rules with “or” and “and”. It reads only the module you name and the fields in your rule.

Can it be wrong?

Your rule can catch real records, for example a real lead whose name contains “Test”. That is why it shows the exact list first; read it before you confirm.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
