Rate leads by your own rules in Zoho CRM

You state the rules, such as "Healthcare with over 50 employees is A", and the Zoho CRM AI Assistant applies them to your leads' field values and proposes a rating or tag for each. Once you approve, it writes the rating or adds the tag.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

Every rep rates leads by gut feeling

The Rating field is there, but one rep sets it for anyone who answered the phone and another never touches it. You know which leads matter: the right industry, the right size, the right country. Nobody has the time to go through the list and apply that the same way to every lead.

the solution

State the rules once, review the grades, approve

Write the rules the way you would explain them to a new rep:

Rate open leads by these rules. Industry is Healthcare and No. of Employees over 50 is A. Healthcare under 50 is B. Everything else is C. After I confirm, set Rating to the grade.

It reads the fields your rules name, applies the rules to each lead and shows the result with the reason, such as "Healthcare, 80 staff". Leads where a field the rule needs is empty are listed apart, not graded.

When you approve, it writes the grade to the field you name, such as Rating or a custom picklist, or adds a tag such as "Grade A". The field must already offer the grades as values: if your Rating picklist has no A, B and C, add them in Zoho first, or use a tag. It uses only field values. It does not read emails or notes for this, and it does not invent a score of its own.

To use the same rules next time, ask it to save them as knowledge.

  • Reads leads and the fields your rules use.
  • Updates the rating field or adds tags only after you approve.
  • A lead with an empty field the rules need is left for you, not graded.

How to do it by hand in Zoho CRM

You can do this in Zoho CRM yourself. Here are the steps.

  1. Open the Leads module and create a custom view for one rule: Industry is Healthcare and No. of Employees is greater than 50.
  2. Select the leads and use Mass Update to set Rating.
  3. Repeat with a new view for each rule.

For two or three rules this works. With more rules, overlapping conditions and empty fields, keeping the views right is where it gets slow.

Frequently Asked Questions

Will it change my leads?

Only the field or tags you name, on the leads you approve. More than 20 leads at once asks for a final confirmation. Status, owner and other fields are not edited.

Is this lead scoring?

It is your rules applied once to field values. It does not learn or predict, and it does not rescore leads by itself later. Ask again when you want the grades refreshed, or use Zoho CRM's own scoring rules if your edition has them.

Can I save my rules?

Yes. Ask it to save them as knowledge, such as "save these as our lead grading rules". Later you can ask "rate new leads by our grading rules". Notes saved for the organization are shared with colleagues on the same Zoho profile.

Can it be wrong?

It can apply a rule you wrote loosely in a way you did not mean. "Large company" means nothing until you say a number. Read the reason shown next to each lead before approving, and give exact values in your rules.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
