Find leads missing qualification data in Zoho CRM

The Zoho CRM AI Assistant lists the leads in a status you choose that are missing the fields you name, such as budget, company size, phone or industry. Once you approve, it creates a task for each owner to fill the gaps.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

The lead is marked Contacted, but nobody knows the budget

The status moved on, and the fields you need to qualify are still empty. Nobody asked about company size, the phone number was never added, and the next person to pick up the lead starts from zero.

the solution

Name the status and the fields, approve the tasks

Say which leads to check and which fields matter to you:

Find leads in status Contacted that are missing Budget, No. of Employees, Phone or Industry. List what each one is missing. After I confirm, create a task for each owner to fill the gaps.

It reads the leads with that Lead Status and checks each field you named. Field names differ between organizations, so it looks up the field in your CRM, including custom fields such as a budget field. It shows each lead with the empty fields and its owner.

When you approve, it creates one task per lead, assigned to the lead owner, with the missing fields in the task. It does not fill in any value itself.

  • Reads leads and the fields you name.
  • Writes tasks only, and only after you approve. Leads are not edited.
  • A field filled with a placeholder such as "n/a" counts as filled.

How to do it by hand in Zoho CRM

You can do this in Zoho CRM yourself. Here are the steps.

  1. Open the Leads module and create a custom view for the status you want.
  2. Add a criterion per field: Industry is empty, or Phone is empty, and so on.
  3. Add the Lead Owner column and the fields you check.
  4. Create a task on each lead and assign it to the owner.

The view finds the gaps, but the tasks have to be written one lead at a time, and each task has to say which fields are missing.

Frequently Asked Questions

Will it change my leads?

No. It creates tasks, and only after you approve the list. It does not fill in the empty fields, even when the answer looks obvious from the company name.

Why does it not fill in the missing values?

Because it would be guessing. Budget, company size and industry have to come from the lead or from research you trust. Once someone knows the value, you can ask it to write that value.

What does it read?

The leads in the status you name and the fields you list, including custom fields. It works from what your CRM recorded.

Can it be wrong?

It treats a field as filled when it has any value, so "TBD" or "0" passes. If your team uses placeholders like these, name them in your request and it will list them too. A field with a different name in your CRM is looked up, so check the field names in the list match the ones you meant.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
