Convert a qualified lead into a deal in Zoho CRM

The Zoho CRM AI Assistant converts one lead you have agreed on into a contact and account, with an optional deal using the name, stage and closing date you confirm, and adds your call notes as a note. It converts only once you approve.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

The call went well and now the paperwork starts

The lead is qualified. Now someone has to convert it, decide whether the company is already an account, name the deal, pick the stage and closing date, and copy the call notes somewhere they will be found. It is the same steps every time, done right after a call when you would rather write the follow-up.

the solution

Say which lead and what the deal is

Name one lead and give the deal details you have agreed:

Convert the lead Lena Ortiz at Northfield Dental. Create a deal called "Northfield Dental - 3 clinics", stage Qualification, closing date end of next month. Add my call notes as a note on the deal.

It reads the lead and shows what the conversion will do: the contact, the account, and the deal with its Deal Name, Stage and Closing Date. If you did not say a stage or closing date, it asks; if the stage name does not match your pipeline, it reads your stages and asks you to pick one.

Conversion cannot be undone, so it asks before converting: in the default Approve writes mode it shows the conversion and waits for your approval. Zoho CRM matches the lead to an existing account and contact by itself during conversion, so a lead from a company you already have is linked to that account rather than creating a second one.

After the conversion, it adds the call notes you pasted as a note on the deal or the contact.

  • Reads the lead, and your deal stages when needed.
  • Converts one lead and adds a note, only after you approve.
  • Converting cannot be undone; check the deal details before you approve.

Frequently Asked Questions

Can I undo a conversion?

No. Once a lead is converted, Zoho CRM does not turn it back into a lead. That is why the assistant shows the conversion first and waits for your approval, and asks when anything in your request is unclear. If you only said "they signed", it asks what you want before doing anything.

What does it create?

A contact and an account, or links to the existing ones Zoho CRM matches, and a deal if you ask for one. Then a note with your call notes if you gave them. Nothing else is changed.

Will it create a duplicate account?

Zoho CRM matches existing accounts and contacts during conversion. That match is Zoho's own, so a company written differently in the lead and the account can still end up as a second account. Check the account name in the preview.

Can it convert many leads at once?

This use case is one lead at a time, because each deal needs its own name, stage and closing date and the conversion cannot be undone.

What does it read?

The lead you name, and your deal stages when it needs them. The call notes come from what you paste or type in your request; it does not listen to calls or read notes you have not given it.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
