Review overdue tasks by owner in Zoho CRM

The Zoho CRM AI Assistant lists open tasks past their due date, grouped by owner and by related deal, one owner at a time. It reschedules or completes only the tasks you pick, once you approve.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

Every rep has a pile of overdue tasks, and some of them matter

The task list says the team has dozens of overdue tasks. Some are calls that happened and were never closed, some belong to deals already lost, and a few are the follow-up a client is waiting for. Moving them all to next week hides the ones that matter.

the solution

Go through one owner at a time, change only what you pick

Ask for the list:

Show open tasks past their due date, grouped by owner and by related deal. Start with Sam Becker’s.

The assistant reads open Tasks with a Due Date before today, groups them by Task Owner and by the deal, account or contact they relate to, and shows how many each owner has. You go through one owner at a time and say what happens to each task: move it to a date, mark it complete, or leave it.

It shows the exact tasks and changes first, and writes nothing until you approve. It does not move every overdue task at once unless you ask for that.

  • Reads tasks with their owner, due date, status and related record, and the stage of the related deal.
  • Writes only the Due Date or Status of the tasks you pick, only after you approve.
  • A task done but never marked complete looks overdue; check with the owner before you close it.

How to do it by hand in Zoho CRM

You can do this in Zoho CRM yourself. Here are the steps.

  1. Open the Tasks module and create a custom view for open tasks with a Due Date before today.
  2. Add the Task Owner and Related To columns and sort by owner.
  3. Go through each owner’s tasks and open the related deal where needed.
  4. Change the due date or status of each task, one by one or with Mass Update for a group.

The view is quick to set up. Deciding task by task, with the deal open beside it, is the slow part.

faq

Frequently Asked Questions

Will it change my tasks?

Only the tasks you pick. It changes their Due Date or marks them complete, and only after you approve. It does not edit deals, delete tasks or change task owners in this request. Changing more than 20 tasks at once asks for a final confirmation.

Can it reschedule all overdue tasks at once?

It is built for review, not for clearing the list. You pick the tasks and the dates. If you do ask to move a whole group, it shows every task first, and changing more than 20 at once asks for a final confirmation.

What does it read in my CRM?

Open tasks with their owner, due date, status, subject and related deal, account, contact or lead, and the stage of the related deal so you can see tasks on closed deals.

Can it be wrong?

It reads what the CRM recorded. A call that happened but was never logged leaves its task open. A task linked to the wrong deal shows under that deal.

Can I see other reps’ tasks?

Only if your Zoho profile and role let you see them. The assistant can read and change only what your profile allows.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
