Save your team's rules for working in Zoho CRM

Tell the Zoho CRM AI Assistant what counts as a hot lead, how tasks are named or which fields must be filled before a stage, and it saves them as shared knowledge. Later requests use those rules, and you can change or remove them.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

The rules live in people's heads

Everyone knows a hot lead when they see one, but nobody agrees on the line. Some tasks start with the deal name, some with the client, some with "Call". A deal reaches Negotiation without an amount. The rules exist, but only as habits, so each request has to repeat them.

the solution

State the rules once, and later requests use them

Tell it the rules in plain words and ask it to save them for the team:

Save these as our team rules. A hot lead is a lead from Germany or Austria with Annual Revenue over USD 1,000,000. Task subjects start with the deal name. Before Negotiation, a deal needs Amount and Closing Date filled in.

It can read the fields your rules name, so the rules point at real fields, and checks whether similar rules are already saved so it updates them rather than adding a second copy. It saves the rules as a note shared with your team.

Later, "show me the hot leads" uses your definition, a task it proposes follows your naming, and a request to move a deal to Negotiation can flag a missing amount. Saving the rules is not a change to your CRM, so it does not wait for approval.

  • Reads the fields the rules name, when it needs to check them.
  • Writes a note with the assistant, not in Zoho CRM. Nothing in your CRM changes.
  • Shared with colleagues on the same Zoho profile. Colleagues on another profile do not see it.
  • A saved rule guides the assistant only. To make Zoho itself refuse a save, use a validation or layout rule.

To have Zoho enforce a rule on every save, see Add a validation rule to a Zoho CRM field. To grade leads with your rules, see Rate leads by your own rules.

Frequently Asked Questions

Will it change my CRM?

No. It saves a note with the assistant. No record, field or rule in Zoho CRM changes. Changes you ask for later, such as a task that follows your naming, still wait for your approval.

What does it read?

The fields your rules name, when it needs to check them, and the rules already saved for your team. In later requests it reads the saved rules together with the records that request needs.

What if my request contradicts a saved rule?

Your current request comes first for things like format and naming. If it conflicts with a saved team rule, the assistant says so and asks which to follow.

Can it be wrong?

It can apply a rule more loosely or strictly than you meant, especially one written in vague words such as "big" or "recent". Write rules with field names and values, such as "Annual Revenue over USD 1,000,000", and check the first answers that use them.

Who can change the rules?

Anyone on the same Zoho profile who uses the assistant can ask it to change or remove a shared rule. Each change is kept with who made it and when, so an earlier version can be brought back.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
