List overdue invoices to call in Zoho CRM

The Zoho CRM AI Assistant lists invoices past their due date that are not paid, grouped by account with the amount and the contact on the invoice. Once you approve, it creates a call task for each account owner.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

The invoice is overdue and nobody has called

The due date passed last week. Finance thinks the account owner is on it, the owner thinks finance sent a reminder, and the client has heard from no one. Looking through the Invoices module does not tell you who to call first.

the solution

Get a call list by account. Approve the tasks.

Say which statuses mean the invoice is settled in your CRM:

List invoices past their due date whose status is not Paid or Cancelled, grouped by account, with the total due and the contact on the invoice. After I confirm, create a task for each account owner to call.

It reads invoices whose Due Date has passed and whose Status is not one you named, groups them by account, and shows each account with its overdue invoices, the total, the Contact Name on the invoice and the account owner.

Nothing is written until you approve. When you do, it creates one task per account, assigned to the account owner and linked to the account, with the invoices listed in the task.

  • Reads invoices, their accounts and contacts.
  • Writes tasks only, and only after you approve.
  • An invoice that was paid but not marked Paid in the CRM shows as overdue.

How to do it by hand in Zoho CRM

You can do this in Zoho CRM yourself. Here are the steps.

  1. Open the Invoices module and create a custom view.
  2. Set the criteria: Due Date is before today, and Status is not your paid or cancelled statuses.
  3. Add the Account Name, Grand Total, Contact Name and Invoice Owner columns, and sort by account.
  4. Add up each account’s invoices, find its owner, and create a call task for each one.

The view lists the invoices; totalling them by account and creating a task for each owner is done by hand.

Frequently Asked Questions

Will it change my invoices?

No. It creates tasks, and only after you approve. Invoice statuses, amounts and due dates are not edited.

Will it email my clients?

Not unless you ask. It does not chase anyone by email in this request. If you ask, it can send one email at a time from your own Zoho-approved address, without attachments, and each email asks you to confirm before it goes out.

Which statuses count as paid?

The ones you name. Teams use different statuses for paid, part-paid and cancelled invoices, so say which ones should be left off the list.

Who is the contact on the list?

The contact in the invoice’s Contact Name field. Invoices with that field empty show no contact; you can ask it to use a contact from the account instead.

Can it be wrong?

It works from the invoice records. Payments recorded in an accounting system but not in Zoho CRM do not show, so an invoice can look overdue when it has been paid. The total is the sum of each invoice’s Grand Total, so a part payment is not subtracted unless your CRM records it. Check with whoever records payments before the calls.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. The Invoices module is available only in some Zoho CRM editions. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
