Count leads and won deals by lead source in Zoho CRM

The Zoho CRM AI Assistant counts leads, converted leads and won deals with their amounts by Lead Source for the period you choose. It shows how many records have the source empty, and changes nothing.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

Which source brings deals, not just leads?

A channel that sends many leads may send few deals, and the event that looked quiet may have closed the largest one. The Lead Source field is in Zoho CRM, but getting leads and won deals side by side, by source and period, means two reports and a spreadsheet.

the solution

One request, one table by source

Ask for the period and the numbers you want:

For this year so far, count leads, converted leads and won deals with their total amount, grouped by Lead Source. Show the rows where Lead Source is empty.

The assistant counts Leads created in the period by Lead Source, and how many of them were converted. It counts and totals Deals in a Closed Won stage, with Amount, by the Lead Source on the deal.

It shows one table, with a row for records where the source is empty. You can add up to two more groupings, such as the owner or another field on the record.

  • Reads leads and deals, with their Lead Source, stage, amount and dates.
  • Writes nothing: this request only reads.
  • It reports the source as recorded. It does not claim which campaign or touch caused a deal.

How to do it by hand in Zoho CRM

You can do this in Zoho CRM yourself. Here are the steps.

  1. In Reports, create a report on Leads, grouped by Lead Source, filtered to the period.
  2. Create a second report on Deals, grouped by Lead Source, filtered to Closed Won stages and the period, with the sum of Amount.
  3. Export both and put them side by side in a spreadsheet.
  4. Add a check for empty sources in each report.

The reports themselves are quick to build. Putting leads and deals side by side, and redoing it for each new period or grouping, is where it takes time.

Frequently Asked Questions

Will it change my records?

No. This request only reads leads and deals and computes counts and totals. Nothing is written to your CRM.

Which date decides the period?

By default, Created Time for leads and Closing Date for won deals. Say in the request if you want a different date, such as the date a deal was modified.

Where does a deal’s Lead Source come from?

From the Lead Source field on the deal. When a lead is converted with a deal, that field usually carries over from the lead; deals created directly have whatever the rep chose.

Can it be wrong?

The table is only as good as the field. An empty or “Other” source hides the real channel, and the report shows those rows rather than spreading them over the others. If a count cannot be read, it says so instead of estimating.

Can I break it down further?

Yes. It groups by up to three fields at once, for example Lead Source, owner and lead status.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
