Check deal amounts after an import in Zoho CRM

The Zoho CRM AI Assistant lists the deals whose amounts look wrong after an import: zero, negative, missing, far above the rest, or missing a currency. The check only reads; it corrects only the amounts you give it, once you approve.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

The import worked, but the pipeline total looks wrong

A spreadsheet of deals went in, and now the pipeline is suddenly much larger or full of zeros. A column was mapped wrong, a thousands separator was read as a decimal, or a currency was left out. Somewhere in hundreds of new deals are the bad ones, and the deals list does not show which.

the solution

List the suspicious amounts first

Say which deals came from the import and what looks wrong. For example:

Check deals created this week for amounts that look wrong: zero, negative, missing, or far above the rest. List them with the stage and owner.

It reads the deals you describe, compares their amounts with the rest of your deals, and lists each suspicious one with its amount, stage, owner and the reason it was listed. If your org uses more than one currency, it also lists deals with no currency set.

This first request only reads. It does not decide what the right amount is. When you know the correct values, give them deal by deal in the chat, or attach the corrected spreadsheet, and it shows each change and updates the Amount after you approve. More than 20 deals at once asks for a final confirmation.

  • Reads deals, their amount, currency, stage, owner and created date.
  • Writes nothing for the list. Writes only the amounts you give, after you approve.
  • “Far above the rest” is a comparison with your other deals, not proof the amount is wrong.

How to do it by hand in Zoho CRM

You can do this in Zoho CRM yourself. Here are the steps.

  1. Open the Deals module and create a custom view for deals created on the import date.
  2. Add the Amount column and sort by it, high to low and then low to high.
  3. Open each deal that looks wrong and compare it with the source file.
  4. Correct the amounts one by one.

It gets slow because sorting shows the extremes but not the deals that are only a little wrong, and each correction is a separate edit.

Frequently Asked Questions

Will it change my deals?

Not for the check: it only reads and lists. If you then give it the correct amounts, it updates the Amount field on those deals after you approve. Stages, owners and other fields are not touched.

How does it decide an amount looks wrong?

Zero, negative and empty amounts are listed as they are. “Far above the rest” compares each amount with the totals and averages of your other deals. You can give your own rule instead, such as “over 500,000”.

What does it read?

The deals you describe, with their amount, currency, stage, owner and created date, and the totals and averages of your other deals for the comparison. It reads nothing outside Deals.

Can it fix the amounts by itself?

No. It does not guess the right value. It writes only the amounts you give it, typed in the chat or from a spreadsheet you attach.

Can it be wrong?

A real large deal can be listed as far above the rest, and a wrong amount that looks normal is not caught. Check the list against your source file.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
