Update a custom view in Zoho CRM

The Zoho CRM AI Assistant changes an existing public view's columns, filter or sort from a request in plain words. It reads the view first, shows what changes and what stays, and saves the change once you approve.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

The view everyone uses no longer fits

The team's pipeline view still shows a column nobody reads, misses the one everybody asks for, and sorts the wrong way. The filter is still right, and nobody wants to rebuild the view from scratch or break it for the people who rely on it.

the solution

Name the view, say what to change

Name the module and the view, then say only what should change:

In the Deals view "Team pipeline", add the Next Step column after Stage, drop Lead Source, and sort by closing date, soonest first. Keep the filter as it is.

It finds the view, reads its current columns, filter, sort and audience, and shows the change side by side with what is there now. Parts you did not mention stay as they are. When you approve, it saves the change and reads the view back to confirm.

A new column list replaces the old one, and a new filter replaces the whole filter, so the approval shows the complete result, not only the difference.

  • Reads the view's columns, filter, sort and audience, and the module's fields.
  • Writes the change to that one view, only after you approve.
  • Works on public custom views only. Personal views and the views Zoho defines itself are refused.
  • Some filters built in Zoho cannot be restated exactly. When that is the case it warns you before you replace the filter.

How to do it by hand in Zoho CRM

You can do this in Zoho CRM yourself. Here are the steps.

  1. Open the module and select the custom view.
  2. Choose to edit the view.
  3. Change the criteria, the selected columns or their order.
  4. Save the view.

Editing one view is simple. It gets slow when you first have to work out what the view filters on today and which columns are hidden among dozens of fields.

faq

Frequently Asked Questions

Will it change my records?

No. It changes the view, which is a saved filter. No lead, deal or contact is edited.

What does it read?

The view’s current columns, filter, sort and audience, and the module’s fields, so the new columns use the exact field names. It does not read the records in the view.

Will it change who can see the view?

No. It keeps the view public, as it was. It refuses to edit a personal or private view, or a view whose audience it cannot read.

What if the filter uses something like "this month"?

Some filters made in Zoho use Zoho's own date tokens that the assistant cannot send back. If you ask to replace such a filter, it warns that those conditions would be lost. If you change only columns or sort, the filter is left untouched.

Can it be wrong?

It can pick the wrong view when two have similar names, or the wrong field for a column. The approval names the view and shows the full new column list, filter and sort, so check them before you approve.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
