Create a shared custom view in Zoho CRM

The Zoho CRM AI Assistant turns a list you describe in plain words into a public custom view with those filters, columns and sort. It shows the view it will save, and creates it once you approve.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

Everyone filters the same deals their own way

The team keeps asking for the same list: open deals over USD 50,000 that close this quarter, with owner and stage. Each person rebuilds the filter, picks different columns and gets a slightly different answer. One shared view would settle it, but it waits in the admin's queue.

the solution

Describe the list, check the view, approve

Say which module, which records, which columns and what order:

Create a public Deals view called "Big deals this quarter". Open deals over USD 50,000 closing this quarter, with deal name, account, amount, stage, closing date and owner. Sort by amount, largest first.

It reads the module's fields to find the exact ones you named, checks that the view name is not taken, and shows the filter, the columns in order and the sort. When you approve, it creates the view as a public view and reads it back to confirm what Zoho stored.

The view is visible to everyone who can open the module. It only filters; it does not change the records it lists.

  • Reads the module's fields and its existing views.
  • Writes one public custom view, only after you approve.
  • Only public views: a request for a personal or private view is refused, so make those in Zoho CRM yourself.
  • A period such as "this quarter" is saved as fixed start and end dates, shown on the approval. Ask it to move them when the quarter ends.
  • Filters on "field is empty" or "is not empty" are not supported yet.

How to do it by hand in Zoho CRM

You can do this in Zoho CRM yourself. Here are the steps.

  1. Open the module, such as Deals, and choose to create a new custom view.
  2. Name the view and add the criteria, such as Amount greater than USD 50,000 and Closing Date between the first and last day of the quarter.
  3. Choose and order the columns.
  4. Set who can see the view, and save it.

This is quick for one view. It gets slow when the requests keep coming and each one needs the right field names and criteria worked out again.

faq

Frequently Asked Questions

Will it change my deals?

No. It creates one custom view, which is a saved filter. No lead, deal or contact is edited.

Can it make a personal view just for me?

No. It creates only public views, and refuses a personal or private request before anything is saved, so a private list is never shared by mistake. Make a personal view in Zoho CRM yourself.

What does it read in my CRM?

The module's fields, so it uses the exact field names in the filter and columns, and the module's existing views, so the new name does not clash.

Can it be wrong?

It can pick the wrong field when two have similar names, or read "this quarter" differently from your fiscal year. The approval shows every condition, column and the sort, so check them before you approve.

Can it filter on related records?

It can filter on a field of a record linked by an ordinary lookup, such as the account's industry on a deal, and on up to three of the module's related lists. Lookups that can point to several modules are not supported in view filters.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
