The Zoho CRM Mailchimp integration moves subscribers, campaigns and opt-out status between the two tools. It works well when the data on both sides is clean. When it is not, the sync spreads the mess to a second system.
This post covers what the extension does, how to set it up, what usually goes wrong, and what to check first. It also says plainly where the Zoho CRM AI Assistant helps and where it does not.
What the Mailchimp extension does
Zoho offers a Mailchimp extension in its Marketplace. According to Zoho's help page, it:
- syncs Mailchimp subscribers to Zoho CRM Contacts or Leads, depending on your mapping;
- imports Mailchimp campaigns into the Campaigns module;
- can add selected CRM contacts and leads to a Mailchimp audience and tag;
- syncs subscription status both ways. It shows in the Email Opt Out field and in a Member Status related list. Changing the opt-out value in the CRM subscribes or unsubscribes the person in Mailchimp.
You choose a one-way or two-way sync. For one-way, you pick the direction: Mailchimp to Zoho CRM, or Zoho CRM to Mailchimp. A scheduled sync runs daily or weekly, and you can start one by hand with Sync Now.
How to set it up, at a high level
- Install the extension from Setup > Marketplace.
- Connect your Mailchimp account.
- In the Mailchimp module's setup, choose the sync direction and how conflicts are settled.
- Map Mailchimp merge fields to CRM fields, and choose which module new subscribers go to.
- Choose which CRM contacts or leads go to an audience, and run a first sync.
Zoho's page does not name the Zoho CRM editions the extension needs, so check that in your own account before you plan around it.
What goes wrong
Most problems come from data that was already in bad shape.
Opt-out status that does not match. Opt-out status syncs both ways, so a wrong value on one side can travel to the other. Check that opt-out status matches in Zoho CRM and Mailchimp before the first sync, not after. Test with a few people who have unsubscribed.
Duplicate contacts. If the same email sits on two CRM contacts, a sync has to decide which one it belongs to. Zoho's page does not describe how it matches records. It does say that with the "CRM always wins" setting, Mailchimp records that already exist in the CRM are not synced. Test with a few known duplicates before you rely on either behavior.
Missing emails. A contact without an email address cannot sync to Mailchimp. Find these records first, so you know how many people your audience is missing.
Customers in the prospect audience. A sync sends what you select. If your list for a new-customer offer includes people who already pay you, they will get the offer.
Related lists. Zoho notes that the default CRM related lists for Campaigns and Contacts are no longer filled. Mailchimp activity appears in the extension's own related lists, which pull live data from Mailchimp.
Uninstalling. Removing the extension deletes the synced Mailchimp list data and the extension's custom fields. The contacts and campaigns already synced stay. Deleted data cannot be recovered.
A checklist before the first sync
- Decide the direction and who wins a conflict, field by field.
- Decide whether new subscribers should be Leads or Contacts.
- Export or note the current Email Opt Out values, and compare them with Mailchimp's unsubscribed list.
- Find and resolve contacts that share an email address.
- Find contacts and leads with no email.
- Decide who is excluded from each audience, such as current customers.
- Start with a small test: one audience, a few records, including a duplicate and an opted-out person.
- Check the result in both tools before you widen the sync.
Where the Zoho CRM AI Assistant helps
The assistant works inside Zoho CRM, when you ask. It reads and lists records, and it changes them only after you approve. It does not run, replace or configure the Mailchimp extension, and it does not read Mailchimp. It checks what is in the CRM, which is the data your sync starts from.
- Opt-outs. Check email opt-outs reads a campaign or a list you name, shows contacts with Email Opt Out ticked or with the unsubscribe tag your team uses, and removes them from the campaign after you approve. It does not change Email Opt Out. It cannot see an unsubscribe that only exists in Mailchimp and never reached the CRM, so compare against Mailchimp's own list too.
- Duplicate emails. Find duplicate contacts by email groups contacts that share an email, suggests which to keep, and, once you approve, moves deals and deletes the extras. It is not Zoho's merge: notes and attachments on an extra contact stay with the deleted record.
- Missing emails. Find contacts without email or phone lists records you cannot reach, grouped by owner, and can tag them or create tasks for owners. It does not look up or invent addresses.
- Customers in the audience. Exclude current customers from a prospect list leaves out contacts at accounts with a Closed Won deal, or another rule you give, and tags the rest or saves a custom view. A customer whose deal was never recorded stays on the list.
Run these checks, approve the fixes you agree with, and then run the first sync on cleaner data. After that, the extension does the syncing, and you keep watching its results in Zoho and Mailchimp.
