The Zoho CRM free plan is a permanent edition for up to three users, with a shared allowance of 5,000 records across modules. It covers basic sales tracking, activities, standard reports and limited automation. The Zoho CRM free trial is different: it temporarily lets you evaluate a paid edition. Start with Free if your team can run its actual sales process within those limits, rather than assuming you must subscribe when a trial ends. Zoho's free CRM overview confirms the user and shared record allowances.
This guide checks official documentation on November 7, 2026. It separates what Free can do from the practical reasons you might outgrow it. If you searched for “free CRM Zoho,” make sure you are evaluating Zoho CRM Free, rather than a trial of another Zoho product.
What the free edition includes
You can organize prospects, people, businesses and opportunities using Leads, Contacts, Accounts and Deals. Use activities to record the next call or task instead of leaving follow-up in a separate notebook. Zoho also lists standard reporting and mobile access for Free on its current CRM pricing page.
For a small team, that supports a useful operating routine: record an inquiry, identify its owner, keep the next action visible, and review open opportunities together. Whether that is enough depends more on the information you need than on how sophisticated the product looks.
Suppose you sell a straightforward service. Your minimum working record might contain a person's name, business, email, owner and next task. You can evaluate that process without designing a detailed industry database first. Write down the information that really changes a sales decision; distinguish it from information that would merely be nice to collect.
Be careful with the word “automation.” Free having workflows does not mean it supports every paid workflow action. Before promising automatic customer emails, owner assignment or an integration, verify the particular action and edition requirement. A workflow counter alone cannot answer that question.
Read our workflow guide to plan a trigger and an observable outcome before building rules. If your problem is simply remembering to call someone, a clear manual task routine may be enough for the initial pilot.
The limits that affect a real setup
Use this table as an initial screening checklist. The figures and exclusions below come from Zoho's complete feature comparison, rather than an assumption that Free matches a paid trial.
| Area | Free edition allowance or boundary | Practical consequence |
|---|---|---|
| Users | Three | Include everyone who needs their own login |
| Data storage | 5,000 records across modules | Count the whole working dataset |
| File storage | 1 GB per organization | Budget attachments separately from records |
| Imports | 1,000 records per batch | Prepare manageable, checked batches |
| Custom fields | Not included | Test whether standard fields fit your process |
| Custom reports | Not included | Check whether standard reports answer your questions |
| Sales pipelines | Default pipeline only | Separate processes may require an upgrade |
| Workflow configuration | Ten rules per module, five active | Check action support as well as rule counts |
| Scheduled workflow actions | Not included | Do not design delayed automation around Free |
The shared record limit matters. A list containing 4,000 people is not automatically a safe fit if you also need company and opportunity records. Prepare a count by destination module before importing, and keep room for new inquiries.
Avoid trying to squeeze essential business information into unrelated standard fields. Using a phone field for a membership number may look economical today, but it makes later searching, validation and migration harder. If a required concept needs a dedicated field, put that on your paid-edition checklist.
Zoho's free-edition guide describes five active workflow rules. The detailed comparison gives the per-module configuration scope. Use the detailed row when planning capacity, and ask Zoho to resolve a mismatch if the controls in your organization differ.
Do not translate a general email allowance into permission for automated marketing. In particular, the comparison's Free workflow email row restricts recipients to CRM users. Test the exact sending method you intend to use before relying on it for customer follow-up.
Free plan versus free trial
Zoho's CRM onboarding FAQ documents a 15-day trial for paid CRM editions. It says the account moves to Free after the trial unless you subscribe, with higher-edition features becoming unavailable. This is why a successful trial setup is not proof that your setup will work on Free.
| Question | Permanent Free edition | Paid-edition trial |
|---|---|---|
| What are you evaluating? | A continuing basic CRM setup | Features of the selected paid edition |
| What should the pilot prove? | Your daily work fits Free | A specific paid capability justifies its cost |
| What needs a decision before the trial ends? | Whether Free still fits | Which paid features your process depends on |
| What should you record? | Working routine and capacity | Edition, settings used and downgrade dependencies |
Check your current edition before starting. The onboarding FAQ explains that it appears beside Subscription under your profile icon. Keep that name in your test notes so colleagues do not compare results from different editions.
If you want to stay free, test again with Free's actual controls. Review fields, reports and automations used during the trial. Identify what remains usable and replace anything the team cannot maintain without subscribing.
Treat a trial as a buying experiment. Choose a question such as, “Does this paid workflow eliminate our missed handoffs?” Run a controlled example, inspect the resulting record and task, and decide from the result. Clicking through feature menus is a poor substitute for that test.
Set up Free without creating cleanup work
Start with a small representative sample. The sample should include a new prospect, an existing customer, an open opportunity and a record with incomplete information. These are suggested test cases, not additional plan allowances.
- Define the record types. Decide when an inquiry belongs in Leads, when someone belongs in Contacts, and when an opportunity deserves a Deal. Use Leads versus Contacts to settle that distinction before importing.
- Name the owner of each step. Write down who enters inquiries, who qualifies them and who checks unanswered leads. A CRM record without accountable follow-up is still a loose end.
- Map your spreadsheet. Match each source column to its intended CRM field. Mark information that has no suitable destination; do not hide it in an arbitrary field.
- Clean the sample first. Normalize emails and phone formats, separate people from companies, and agree how to handle repeated people. Follow prepare data before a CRM import.
- Review access. Sign in as an ordinary team member and inspect what they can see and change. Use who can see records as the access-review task, checking edition availability before requesting changes.
- Import and inspect. Compare source rows with created records, relationships and owners. Keep the original file and a note of exceptions. The import contacts while preserving existing data use case helps define the desired outcome.
- Run a complete inquiry. Add a prospect, assign responsibility, record a next action and review the resulting opportunity. Ask another user to repeat the routine without coaching.
Keep customer communication outside the test cohort until you understand existing rules. Once the pilot works, move another reviewed batch and reconcile it before proceeding.
Decide whether to stay free or upgrade
Stay with Free when the team uses it consistently, the standard data model fits, and the available reports answer your immediate questions. There is no prize for upgrading a process that already works.
Upgrade when a specific constraint blocks necessary work. Common decision triggers include another person needing access, a required custom field, separate pipelines, tailored reporting or a workflow action unavailable in Free. Describe the blocked outcome before comparing prices.
For example, “We need to distinguish renewal dates from first-purchase dates” is a clearer requirement than “We want more customization.” Take that requirement to the add a custom field use case and verify the selected edition supports the field design.
Calculate the full change cost: licenses, billing term, implementation time, integration subscriptions and ongoing maintenance. Our Zoho CRM pricing checklist explains how to compare a quote without confusing a monthly equivalent with the amount due.
When you approach the storage allowance, review the records you actually need, but do not delete useful history simply to postpone a subscription. Separate an intentional retention decision from a capacity workaround. Export and inspect the relevant data before making a cleanup decision.
Have the team review the pilot after a normal working cycle. Count inquiries with owners, overdue next actions and exceptions that required another spreadsheet. Those observations show whether the limitation is the plan or an unclear operating routine.
Where the Zoho CRM AI Assistant helps
The assistant can help inspect and improve the CRM side of your setup, within the connected account's permissions, Zoho edition and enabled tools. A Free CRM account is not evidence that every assistant task or integration is available; check API and task requirements before planning around it.
Use a concrete request:
Review our current edition and this proposed intake process. Identify which requirements fit our available fields and which need a paid capability. Show inquiries without an owner or next task. Propose a small pilot and list changes for my approval before applying them.
The side panel defaults to approval per action. Review the proposed work and its scope before authorizing writes. A clear request should also identify the sample records and the result you expect to inspect.
For ongoing use, ask it to review leads without a first response. Confirm whether a real response happened elsewhere before creating another task. The useful result is an accurate exception list and an agreed next action, rather than simply more reminders.
Common questions
Is Zoho CRM really free forever?
Zoho describes Free as a continuing edition with no forced upgrade. You can keep using it while its allowances and available capabilities meet your needs. Optional paid products and services still need their own budget.
Is the record limit per user or per module?
It is shared by the organization. Zoho's record-management FAQ confirms 5,000 records for the Free account. Do not multiply that allowance by your users or modules.
Does the free plan include automation?
Yes, but check the supported actions and configuration limits in the table above. A simple internal task workflow and a delayed customer email sequence are different requirements; the existence of workflows does not establish both.
Will the free trial delete my data when it ends?
The onboarding FAQ says moving to Free does not cause data loss, but higher-edition features become inaccessible. Review your trial dependencies before expiry; retained data does not mean the same working setup remains available.
When should a small team pay for Standard?
When a verified Standard capability solves a necessary problem that Free cannot handle, and the team is ready to use it. Test that requirement, get a current regional quote, and name the person responsible for maintaining the resulting setup.
