Pricing of Zoho CRM: choose a plan and calculate the real cost

Compare Zoho CRM plans, billing options and extra costs. Follow a practical checklist to choose an edition and let the AI Assistant configure your CRM setup.

To budget for Zoho CRM, choose your required features before choosing your edition. Then price the people who need access, the billing term and the extras. A subscription figure alone does not tell you what a working CRM will cost.

This guide uses the plan structure checked on November 1, 2026. Paid amounts depend on your locale and billing selection. Check Zoho's current pricing page for the actual figures rather than using a price copied from a search result.

Start with your currency, billing term and required features

Open the official pricing page. Select your purchasing currency and compare the monthly and annual billing controls. Record the date beside your quote.

Keep the payment schedule separate from the displayed monthly equivalent. An annual subscription shown as an amount per user per month still needs an annual budget. Ask when payment falls due, what happens if seats change and which renewal terms apply.

Write down the business process you need to run. For example: capture an enquiry, assign an owner, qualify the lead, create the next task and report the resulting pipeline. Add requirements for access, accounting and email. These become the checks against the edition matrix.

Do this before a demo. Otherwise a useful feature can become a requirement simply because you saw it, while an essential permission gets missed.

Compare Free, Standard, Professional, Enterprise and Ultimate

Zoho's pricing page lists Free and the paid editions Standard, Professional, Enterprise and Ultimate. Free supports three users. That establishes a user allowance, not whether Free meets your process.

Use a comparison sheet rather than assuming that the middle tier is the best value:

EditionDecision to make
FreeCan your users complete the required process within its current feature set?
StandardDoes its current matrix meet every essential requirement?
ProfessionalWhich documented requirement would justify moving up from Standard?
EnterpriseWhich required control or capability needs this edition?
UltimateWhat requirement remains unmet by the other options?

For each paid tier, put the current quoted price beside the exact feature that would make you choose it. Leave unsupported feature assumptions blank until you verify them. This guide does not assign particular automation, API or permission features to editions without that check.

If you are evaluating an upgrade, identify the blocked task first. “We need the next edition” is less useful than “the sales manager must see this report while representatives see only the agreed records.” Verify that precise requirement in your account or trial.

Calculate the full subscription budget

Use the Zoho license calculator to enter your edition and user count. It includes options for team users, support, backup and file storage. Confirm the eligibility and scope of each option before adding it.

Build your budget from these lines:

  • Regular user licenses at the selected term.
  • Team-user licenses, if appropriate for the people and access involved.
  • Selected support, backup and storage additions.
  • Separate integration or service subscriptions.
  • Applicable local taxes.
  • Setup, data preparation, training and ongoing administration.

Local taxes are additional to listed prices. Keep them visible instead of comparing a tax-inclusive quote with a pre-tax headline.

For subscription arithmetic, multiply the quoted seat rate by the relevant seat count and billing periods. Add recurring extras on the same time basis. Show one-time setup separately, then combine it with recurring charges for your first-year budget.

Do not count a provider's entire price as a CRM charge. For example, your email provider, an SMS service and an accounting connector may each have their own costs. Ask which party invoices each item and whether it changes with users, volume or storage.

Keep a second estimate for the expected rollout. Your pilot may need fewer seats than the full team. Document the assumptions rather than treating the pilot bill as the long-term cost.

Use a requirements worksheet before choosing a tier

Give every requirement an owner and an acceptance test. A requirement that nobody can test is hard to price accurately.

RequirementAcceptance testCost question
Record accessRepresentative and manager see the agreed recordsWhich edition and user type are needed?
ReportingManager reconciles pipeline to sample dealsIs the required reporting included?
AutomationQualified lead receives the intended next taskAre the needed actions and controls included?
API connectionIntegration completes its required CRM operationWhat access and external service charges apply?
AccountingCustomer and document follow the agreed directionIs a separate connector subscription needed?
EmailUser can complete the agreed inbox taskWhat mailbox, sending or service charges apply?

Mark each row essential, useful or later. Price the essential set first. Then quote the useful additions separately so you can make a deliberate choice.

Keep access work concrete with a check of who can see records. If a role should avoid destructive actions, include the profile without delete or export requirement in the worksheet.

A cheaper subscription can still require more setup work. Estimate the implementation work you will actually do: mapping data, deciding ownership, configuring the process and checking reports. Do not assume those tasks disappear with a higher edition.

Ask the Zoho CRM AI Assistant to configure the chosen setup

The Zoho CRM AI Assistant can perform work inside Zoho CRM on request, including setup, fields, layouts, permissions, workflows, Blueprint, Deluge functions, reports, imports and cleanup. It applies the proposed fields, access settings and automation after your approval.

Give it the worksheet, your chosen edition and your intended roles:

Inspect our CRM against these requirements. Propose qualification fields, a sales representative access profile and a workflow that creates an owner task when a lead becomes qualified. Explain any feature that needs an edition check. Show the proposed changes before applying them. After approval, configure the CRM and test the process with sample records.

Ask for a gap list as well as a setup plan. The assistant should identify an unresolved requirement rather than substitute a different process without telling you.

Use adding a custom field as a concrete first task. Specify the field's purpose, type, allowed values and who needs it. Then check the resulting record as a representative would.

The assistant prepares the CRM side of integrations. It does not operate third-party products or purchase their subscriptions. You still need the appropriate person to authorize external accounts and confirm commercial terms.

Test the setup before expanding seats

Run a sample lead through the process in the chosen edition. Have a representative and a manager check their own access. Verify that the expected task appears and the manager's report contains the correct record.

Test a lead that should not receive the task too. Change an unrelated field and check for unintended repeat tasks. Missing negative tests can make a demo look complete while hiding everyday problems.

Record the evidence beside the requirements worksheet: the record used, expected result, actual result and remaining issue. Resolve essential failures before adding the remaining users.

Include handover in the pilot. Someone should know how to change an owner, investigate a missed task and review an integration failure after setup is complete.

Common pricing questions

How much does Zoho CRM cost per month? Use your selected edition, locale, billing term and seat count to obtain the current amount. This guide does not publish unverified paid prices. A monthly equivalent and a monthly invoice are different budget items.

How much does CRM cost per month generally? Compare the full required process across products. Include licenses, services and administration on the same billing basis, rather than comparing starting prices.

Is Free the same as a trial? Treat an ongoing Free edition and temporary access to a paid edition as separate choices. Free supports three users; check the current terms for any trial, including what remains when it ends.

What about CRM Plus? Keep a CRM-only quote separate from any CRM Plus quote. Check Zoho's current pricing page for the bundle contents, entitlement and billing terms. Compare only the products you need.

Are email or mobile costs extra? Check the exact email task, mailbox provider, mobile requirement and selected plan. Do not assume a separate charge or universal inclusion. Ask for any related limits and fees in writing.

What should I check at renewal? Confirm the seat count, billing term, currency, taxes, add-ons and cancellation terms again. Keep the approved requirements sheet with the quote so a renewal reflects the setup your team actually uses.
