Zoho CRM email signature: setup, logos, and fixes

Set up your Zoho CRM email signature, add a logo, choose sender addresses, and fix missing or duplicate signatures in templates with a clear testing checklist.

Set your Zoho CRM email signature in CRM's Compose settings, then check how your templates use it. A signature saved in another email product does not establish what CRM will insert.

Start with one sender address and one test template. Once a received message looks right, repeat the check for the other addresses your team uses.

Open CRM Compose settings

Open Setup > Channels > Email > Email Configuration > Compose and find Email Signature. This is the CRM configuration route described in Zoho's Compose settings guide.

Before editing, record the sender address, current signature name, and template you want to test. Keep a copy of the existing text so a formatting experiment does not erase a working footer.

Check which product you are configuring. Zoho Mail has its own signature controls. If your problem happens when composing from a CRM record, begin in CRM. If it happens only in a separate mailbox application, investigate that application's settings separately.

If Compose settings are unavailable, ask your administrator to check your current access and Zoho's help docs. Avoid following an old screenshot into a different product simply because it contains a similar signature editor.

Create a signature and assign sender addresses

Choose Add New Signature, give it a recognizable name, and enter the approved contact details. Select the email addresses that should use it and save.

One signature can be associated with multiple addresses. The associated signature is inserted when composing an email. Build a small sender map before applying the same footer broadly:

Sender roleIntended contentCheck before saving
Individual salespersonName, role, direct contactDetails belong to that person
Shared sales addressTeam name and shared contactFooter does not identify the wrong individual
Regional addressApproved local contact detailsLanguage and links match the region

These are proposed team conventions, not required signature types. Choose names that help an administrator understand the mapping later.

Open a new CRM message and check the actual From address. A correct footer under the wrong sender still needs fixing. Repeat the compose check for every address included in your mapping.

Keep the text short enough that recipients can find a reply address or phone number quickly. Ask the team owner to approve any legal wording rather than copying it from an unrelated company's email.

Add a logo and readable formatting

CRM signature images support PNG, JPG, JPEG, and GIF. The editor can insert an image from a URL or file, as explained in Zoho's email FAQ.

Use the approved logo asset and check how it appears in a received message. Do not rely on the editor preview alone. Your acceptance test should cover image loading, spacing, line breaks, and readable contact details when images are hidden.

Click each link in the controlled test email. Confirm that the website reaches the intended page and that the email link opens the intended address. Check the visible text as well as the destination; an updated label can still conceal an old link.

If the footer looks oversized on a phone, simplify the layout and test again. Keep essential contact information as text. A logo that fails to load should not remove the only way to identify the sender.

If inserting an image produces a character-limit error, inspect the full template and any pasted markup. Reduce unnecessary formatting and retry with a clean copy. Check Zoho's help docs for the current limit and supported insertion method; a community report about a template does not prove a signature-specific defect.

Insert the user signature into email templates

A configured signature and a template footer need to work together. Zoho documents selecting the signature option or inserting the user-signature merge field for email templates.

Open the chosen email template for editing, find the footer area, and use the template's merge-field controls to insert the user signature. Use the current controls rather than typing a guessed merge-field token.

Inspect what is already present. A template may contain a typed name, contact block, logo, or signature field left by a previous editor. Choose which content belongs in the reusable template and which belongs in the sender's signature.

For example, keep the message's closing sentence in the template and put personal contact details in the signature. Remove a second contact block only after confirming it is redundant. A mandatory company notice may have a separate purpose.

If you need to edit HTML, preserve the current template first. Use the HTML editing route supported by your current editor, correct only the relevant footer markup, and inspect the rendered result. If that control is unclear, check Zoho's help docs before pasting a complete replacement.

For broader template work, follow the Zoho CRM email templates guide. Test the actual template and sender combination after every change.

Have the AI Assistant configure and audit signatures

The Zoho CRM AI Assistant can perform CRM configuration and record work from your instructions. It saves changes after you approve them. Give it the sender map and a named template so the audit has a clear boundary.

Inspect our CRM signatures for the sender addresses in this table. Propose the intended associations and update the selected template to use the user signature. Identify duplicated names, logos, and contact blocks. Show the proposed changes and wait for approval before saving.

Compare its proposal with your approved text. Check that a shared address has not acquired an individual's phone number and that required notices remain present.

After approval, compose a message yourself and inspect the received copy. Configuration readback helps verify the saved setting, while the message test verifies what your recipient sees.

The assistant can also handle CRM fields, layouts, workflows, Blueprint, Deluge functions, reports, imports, and cleanup. Ask it to save the team's email rules if the audit reveals an undocumented convention. It does not operate a separate third-party mail application; changes there need their own operator.

Fix missing or duplicate signatures

For a missing signature, compare the actual From address with the saved sender association. Then check whether the selected template includes the signature option or user-signature merge field. Test a fresh message before investigating an old conversation.

For a duplicate, inspect both the generated signature and the template's embedded footer. Also check whether the older signature is simply quoted from the previous message in a reply. Two visible contact blocks can have different causes.

Use a small comparison test: a fresh message without the problem template, a fresh message with it, and a reply using the intended sender. Record which version duplicates the footer. This narrows the repair without changing every template.

Save the correction, send another controlled test, and inspect the final links and layout. Add the sender mapping and test steps to your CRM training notes so the next administrator can repeat the check.
