Zoho CRM demo: a practical lead-to-deal evaluation

Use this Zoho CRM demo checklist to test leads, deals, follow-ups, and reporting. Try AI Assistant prompts and verify the CRM records behind each demonstration.

Use a demo to answer a sales-process question: can your team take an inquiry, qualify it, manage the opportunity, and follow up with a useful report? Bring a fictional scenario and inspect the saved records behind each demonstration.

Choose a live demo, video, or trial

Choose the format around what you need to observe. A video helps you learn vocabulary and navigation. A live session lets you ask someone to demonstrate your exceptions. A trial gives you a place to repeat the process yourself.

Zoho's basics video page covers navigation, views, filters, and configuration. It also describes using sample data before importing live data. The official demo form lets you request a session with product experts and asks for an approximate user count.

The signup page advertises a 15-day free trial. Confirm current terms on that page before registering. Prepare your process questions before starting the evaluation so you can use the available time deliberately.

If you need basic terminology first, read what Zoho CRM is. Keep a feature-tour question separate from a workflow acceptance test: seeing a screen is different from proving that your record handoff works.

Prepare a fictional sales scenario

Use a fictional prospect requesting an annual support package. Do not enter a real customer's details just to make the demo feel realistic. Label the sample so anyone reviewing it understands its purpose.

Prepare the facts the presenter may use: organization, contact, request, proposed owner, service scope, and a planning date. Mark budget and decision authority as unknown if your scenario has not established them. Give the presenter the same uncertainty your reps encounter.

List the roles you want to test, such as a rep entering the request and a manager reviewing the pipeline. Agree which fields are required in the demonstration account. Ask how any differences from your intended account will be verified later.

Write pass criteria in advance. For example: the request reaches the intended owner; the qualified opportunity keeps the right associations; the after-call task has a date; the pipeline report includes the intended sample. The implementation guide helps turn unresolved setup questions into a later work plan.

Follow a lead into a linked deal

Ask the presenter to create the sample lead and show the saved record. Check the entered fields and owner against your worksheet. Then introduce the qualification evidence you prepared and ask them to demonstrate the agreed lead-to-deal path.

Inspect the resulting records rather than stopping at the conversion confirmation. Open the relevant account, contact, and opportunity outputs and compare their identities, links, and ownership. Ask where each piece of source information ended up.

Include one uncertain case. If the scenario lacks a confirmed value, observe whether the process exposes the gap or encourages a guess. This helps you evaluate the quality of the workflow, not just its fastest path.

For the Zoho CRM AI Assistant lane, ask it to prepare the fictional lead, then the qualified conversion with the supplied criteria. It can perform CRM tasks on request and changes data after approval. Review the proposed records before approving and inspect the saved outputs afterward. Use the qualified-lead conversion example as a concrete test description.

Test the after-call workflow

Give both the manual and Assistant demonstrations the same short note: scope is confirmed, budget is pending, and the owner must send a revised proposal on the supplied date.

Check three outputs: a useful note, the explicit scope update, and an owned follow-up task. The unconfirmed budget should remain unconfirmed. Record whether the process keeps that distinction clear.

An Assistant prompt could be:

On the sample deal, save these notes, update the confirmed scope only, and create the proposal task for the named owner on the stated date. Keep amount and stage unchanged. Show the proposed writes for approval and then identify the saved outputs.

Use the after-call example to frame the test. Open the task and check its association, owner, and date. Ask how the team would find a deal that missed this step, using the missing-next-step example.

The Assistant can also configure CRM fields, workflows, and reports when requested. It does not operate a third-party application, so evaluate any external handoff through a separate test of that system.

Inspect a useful pipeline report

Define the question before asking for the report. For this scenario, you might want open opportunities grouped by stage and owner within the agreed sample scope. State which amount field and currency policy the comparison should use.

Ask the presenter to show filters, included records, groupings, and totals. Compare them with a hand-checked list of the sample deals. Include an intentionally excluded record so you can verify the boundary as well as the displayed result.

Ask the Assistant to prepare the same report and explain the included population. The stage-and-owner report example gives you a practical evaluation task. A polished chart is useful only when its records and calculations answer the intended question.

Capture evidence from your own session: the sample record, conversion outputs, saved note and task, and report filters. Use fictional data in screenshots and keep a short note of which role performed each step.

Score the demo against your requirements

Fill in this blank scorecard during the session:

RequirementPass or needs workSaved evidenceUnresolved question
Lead entry and ownership———
Qualification and linked records———
Note and explicit field update———
Dated follow-up task———
Report scope and totals———
Rep and manager access———
Assistant approval and output checks———

Mark untested items as untested rather than passing them on the strength of an explanation. Assign a person and a next action to every unresolved issue. Separate a configuration question from a product capability that still needs verification.

Repeat the main sequence yourself using the how-to-use guide for broader orientation. Your decision should rest on a process you can reproduce and inspect, with open questions recorded clearly enough to resolve before rollout.
