Find support cases with no update in Zoho CRM

The Zoho CRM AI Assistant lists open Cases with no change or activity in the number of days you choose, sorted by priority and owner. Once you approve, it creates a follow-up task for each case owner.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

The case is open and nobody has touched it

A customer reported a problem last week. The case was assigned, the owner meant to look into it, and nothing has changed since: no note, no call, no new status. The customer is still waiting, and the only way to spot it is to open the open cases one by one.

the solution

Ask for the cases nobody has touched

Say how many days count as stale:

Find open Cases with no change, note, call or email in the last 5 days. List them by priority and owner. After I confirm, create a follow-up task for each owner, due tomorrow.

The assistant reads your open cases, checks when each was last changed and whether any note, call, task or logged email was added in that time, and lists the quiet ones by Priority and Case Owner, with the date of the last update.

Nothing is written until you approve. Then it creates one follow-up task per case, linked to the case and assigned to the case owner, and skips cases that already have an open follow-up task. It does not change the case or reply to the customer.

To give owners to cases still sitting on a queue user, see Assign unassigned support cases.

  • Reads open Cases, their change history, notes, calls, tasks and logged emails.
  • Writes tasks only, and only after you approve.
  • Work done outside Zoho CRM, such as a phone call nobody logged, is not seen.

How to do it by hand in Zoho CRM

You can do this in Zoho CRM yourself. Here are the steps.

  1. Open the Cases module and create a custom view: Status is not closed and Modified Time is before 5 days ago.
  2. Add the Priority and Case Owner columns and sort by priority.
  3. Open each case and check its notes and activities for recent work.
  4. Create a task on each case that needs one and assign it to the owner.

The view shows when a case was last edited, but not whether anyone worked on it, so each case still has to be opened.

Frequently Asked Questions

Will it change my cases?

No. It creates tasks, and only after you approve the list. Case status, priority, owner and description are not edited, and the customer is not contacted.

What counts as an update?

A change to the case itself, or a note, call, task or logged email added to it. You can leave some of these out, such as automatic field changes, by saying so in your request.

Can it use different limits for each priority?

Yes. Ask for “high-priority cases with no update in 1 day and the rest in 5 days”, and it applies each limit to its own priority.

Can it be wrong?

A case updated by a workflow rule looks active even when no person worked on it, and work done by phone and never logged looks like nothing. Its check for existing follow-up tasks looks at what exists when you ask; it is not a lock.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
