Create renewal deals from won deals in Zoho CRM

The Zoho CRM AI Assistant creates next term’s renewal deals from deals won in a period you choose, with the same account and contact and a closing date a year later. It checks for an existing renewal deal first and creates the new ones once you approve.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

Renewals are not in the pipeline until someone types them in

Last year’s won deals renew this year, but only if someone creates the renewal deal. Done by hand, it means copying the account, contact, amount and dates deal by deal, and checking that a colleague did not already add it. So it gets done late, or for some customers and not others.

the solution

Ask for the renewals from a period of won deals

Name the period, the term and the amount:

For deals won in October last year, create next year’s renewal deals with the same account and contact, the same amount, closing a year after the original. Skip any that already have a renewal deal.

The assistant reads the deals won in that period with their account, contact, owner and amount. It looks for an open deal on the same account named as a renewal, or matching the fields you name, and leaves those out. It lists the new deals with name, account, amount, closing date and stage before anything is created.

Nothing is written until you approve. Then it creates the deals in the stage and pipeline you choose, named the way you ask (for example, the original name plus “renewal”). The won deals are not changed.

  • Reads won deals, their accounts, contacts, owners and amounts, and existing open deals.
  • Writes new deals only, and only after you approve.
  • Creating more than 20 deals in one request asks for a final confirmation.
  • Its check for an existing renewal matches names and fields you give; a renewal named differently may not be found.

Frequently Asked Questions

Will it change my won deals?

No. It creates new deals for the next term. The won deals, their accounts and contacts are not edited.

Can I change the amount or the term?

Yes. Say “last year’s amount with our new list price”, “an amount of USD 1,200 each”, or “a term of 6 months”, and the list shows the result for each deal before you approve.

How does it find an existing renewal deal?

It looks at open deals on the same account and checks the fields you name, such as a deal name containing “renewal” or a closing date in the new term. Tell it how your team names renewals for a closer match. The check looks at what exists when you ask; it is not a lock.

Does it copy the products on the deal?

Not unless you ask. It can link the same products to each new deal, and it lists them first. Quotes and sales orders are not copied.

Can it be wrong?

It works from the won deals as recorded. A deal with no contact, the wrong closing date or an amount that included one-off setup gives a renewal deal with the same gap or error. Read the list, especially the amounts, before you approve.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
