Find won deals with no kickoff in Zoho CRM

The Zoho CRM AI Assistant lists deals won in a period you choose, such as the last 14 days, whose account has no kickoff task or meeting yet. Once you approve, it creates a kickoff task for the owner you name, or for the deal owner.

Zoho CRM AI Assistant is a Chrome extension that opens beside Zoho CRM. Tell it what you want to do in plain language, and it works with your CRM for you. Try Plus free for 14 days, then stay on Free forever.

the problem

The contract is signed and nobody booked the kickoff

A deal moves to won on Friday. The salesperson assumes onboarding will call, onboarding assumes the salesperson will, and two weeks later the customer is still waiting to hear how to start. Nobody can tell from the deal list which new customers have a kickoff on the calendar.

the solution

Ask for the won deals still waiting

Type the window and who should run the kickoff:

Find deals won in the last 14 days whose account has no kickoff task or meeting yet. After I confirm, create a kickoff task for the deal owner, due in two days.

The assistant reads the deals in your won stage with a Closing Date in that window, then the open and completed tasks and the meetings on each deal and its account. It looks for a subject with the word you use for a kickoff (“kickoff”, “onboarding call”, “welcome call”) and lists the deals with none, with the account and the deal owner.

Nothing is written until you approve. Then it creates one task per deal, linked to the deal, with the subject and due date you gave, assigned to the person you named or to the deal owner. It does not book a meeting or invite the customer; the task is the reminder to do that.

To give each new customer your full checklist, see Create onboarding tasks for a won deal.

  • Reads won deals, their accounts, and the tasks and meetings on both.
  • Writes tasks only, and only after you approve.
  • It recognises a kickoff by the subject words you give, so a kickoff logged under another name looks missing.

How to do it by hand in Zoho CRM

You can do this in Zoho CRM yourself. Here are the steps.

  1. Open the Deals module and create a custom view: Stage is your won stage and Closing Date is in the last 14 days.
  2. Open each deal and its account, and check the Open Activities and Closed Activities related lists for a kickoff.
  3. Create a task on each deal that has none and assign it to the owner.

The view gives you the deals, but the check for a kickoff is one account at a time, and it repeats every week.

faq

Frequently Asked Questions

Will it change my deals?

No. It creates tasks, and only after you approve the list. Deals, accounts, stages and amounts are not edited.

What does it read in my CRM?

Deals in your won stage with a closing date in the window you give, the account on each deal, and the tasks and meetings linked to the deal or the account.

How does it tell a kickoff from any other task?

By the subject. Say the words your team uses, such as “kickoff” or “welcome call”, and it looks for any of them. A task with none of those words in its subject is not counted.

Can it be wrong?

A kickoff that was arranged by email or phone and never logged as a task or meeting looks missing, and a task called something unusual is not recognised. Read the list before you approve. Its check for existing tasks looks at what exists when you ask; it is not a lock.

Can the task go to someone other than the deal owner?

Yes. Name the person or the team member who runs onboarding, and every task is assigned to them. It can only assign to active users in your Zoho CRM.

Will it work on my Zoho CRM edition?

It needs a Zoho CRM edition and user profile with API access, and it can only do what your profile is allowed to do. This use case has not been checked edition by edition yet, so write to us if you want to check yours first.
