Zoho CRM email limits: daily quotas and fixes

Check Zoho CRM email limits by send type, edition, and organization time zone. Diagnose blocked sends and ask an AI assistant to prepare a sending plan.

Check the sending route before calculating a Zoho CRM email limit. Individual messages, mass sends, and workflow notifications do not all use the same allowance. A connected email provider may also return a restriction that is separate from the CRM limit you are investigating.

Use the figures below as the documented baseline, then confirm the current rules and your account's usage before scheduling work. A daily maximum is a capacity boundary, not permission to email every address you can find.

Identify which email allowance applies

Record where the message starts, who triggers it, and whether it is a single message or an audience send. Keep the exact error text if sending is blocked.

Sending routeWhat to check
Individual CRM emailConfirmed-user calculation and organisation usage
Mass emailEdition allowance and other counted sends
Workflow email notificationIts own documented rules, separate from mass allowance
Connected provider routeProvider response and applicable external restrictions

Zoho's feature comparison excludes workflow email notifications from the mass-email allowance. That does not establish that workflow messages are unlimited. Check their current rules before changing an automation plan.

If the failure is unclear, use the CRM error guide to separate a returned limit message from another failure. Changing routes without understanding the error can leave the original problem unresolved.

Check daily individual email allowance

Zoho's email limits guide gives the paid-edition individual allowance as confirmed users multiplied by 300 per organisation per day. Free and Trial use confirmed users multiplied by 50.

Treat the result as organisation capacity. Do not assign every user the full calculated organisation allowance when planning the team's work.

Confirm the user count used in your account. If the team refers to “active users,” check which of those are confirmed users under the documented calculation. Do not multiply a purchased-seat total without checking that it matches the relevant count.

Then compare planned individual messages with usage already incurred and other teams' expected work. Keep the calculation, observation time, and account edition together. A capacity estimate without a timestamp can become stale as colleagues continue sending.

Check Zoho's current help docs if your account displays a different allowance or additional conditions. Use the account evidence to resolve the discrepancy before promising a send time.

Compare mass email limits by edition

The documented daily mass-email allowances are:

EditionMass emails per organisation per day
Standard250
Professional500
Enterprise1,000
Ultimate2,000

These are organisation figures, not separate allowances for every sender. Confirm the account edition and current usage, then account for other planned activity before dividing an audience into batches.

Do not use the individual-email formula to enlarge this table. Individual and mass-email calculations answer different questions. Equally, do not count workflow notifications against this mass allowance merely because they also send an email.

If the available capacity is smaller than the reviewed audience, prioritize the recipients with a legitimate immediate need and schedule the remaining work within the verified rules. For a different plan or product, check Zoho's current pricing page and help docs rather than inventing an upgrade entitlement.

Find the reset time and counted sends

The daily counting window follows the organisation time zone. Check that setting before treating your own local midnight as the start of another window. Ask the administrator to confirm the current boundary for the account rather than guessing from the sender's laptop clock.

Mass-email counts include autoresponders, active schedulers, macros, and mass emails. Review those sources together. A colleague's scheduled activity can consume capacity you had mentally reserved for a later audience.

Maintain a simple plan with the sending route, reviewed recipient set, intended window, responsible owner, and usage observation time. Recheck it before execution.

If an audience came from report results, confirm the supported sending route in the current account. A report is a way to identify records; it does not establish a new allowance. Apply the rules of the actual email route used.

For CC recipients on a mass send, check both current support and counting behavior in Zoho's help docs. The documented allowance table alone does not establish either. Do not assume CC recipients are supported or exempt from counting.

Resolve a blocked send

Pause the retry loop and inspect the evidence. Capture the exact message, time, route, intended recipient set, and any visible usage information.

  1. Confirm whether the restriction came from CRM or a connected provider.
  2. Check the applicable allowance and organisation counting window.
  3. Review scheduled work that may share the capacity.
  4. Check the audience for duplicates, invalid context, and opt-outs.
  5. Determine which messages, if any, already sent before retrying.

Use check email opt-outs before preparing the retry audience. A record's presence in a report does not remove its communication preferences.

For a missing workflow notification, inspect the rule and its evidence with why a workflow did not run. Do not assume a mass-email cap caused a workflow failure.

If sending appears stuck during a wider account problem, compare the symptoms with the slowness diagnosis. Keep service evidence and quota evidence separate. A page that is slow to refresh is not proof that another send is safe.

Ask the AI Assistant to prepare a compliant sending plan

The Zoho CRM AI Assistant can inspect CRM recipients, review opt-outs, prepare segments, and adjust requested CRM workflows. It waits for approval before changing recipient records or the CRM sending setup.

Review this proposed CRM audience for duplicate recipients and opt-outs. Use our confirmed edition, organisation time zone, observed usage, and scheduled sends to propose a sending plan within the documented allowance. Separate individual, mass, and workflow activity. Show unresolved capacity questions before approval, and exclude already-sent recipients from any retry proposal.

Use segment contacts by industry when you need a narrower reviewed audience. Segment for relevance first, then calculate scheduling capacity.

The assistant can also configure CRM fields, layouts, Blueprint, Deluge functions, reports, imports, and cleanup. It cannot bypass Zoho's limits or operate a third-party email provider. Have that provider's owner investigate external restrictions while the assistant prepares the CRM side.

Keep the approved audience and schedule with the usage evidence. Before the next window, recheck capacity and communication preferences so the plan reflects the current account rather than yesterday's estimate.
