Build a Zoho CRM Canvas view around the decisions someone makes while using a record. For an account manager, that might mean identifying the right contact, checking related work and finding the next action. Put those tasks ahead of decorative changes.
Start with one role and one representative record. Agree what the finished view should make easier, then test it with both complete and incomplete data. A layout is ready when the intended user can do the job without hunting for essential information.
Choose a list, detail or form layout
Canvas supports customized record detail pages, list views and data entry forms. Choose the surface by the task. Use a list design to help someone scan a set of records. Use a detail design to help them understand one record. Use a form design when the main task is entering information.
Zoho's Canvas FAQ describes custom list, tile and table options for list-view designs. Compare the options using the same representative records. Dense information may be easier to compare in a table, while a compact card may suit a shorter summary.
For record details, the design offers web and mobile tabs. Treat those as separate review surfaces. Keep the most important information easy to find in each. The layout guide helps you review the surrounding field structure before redesigning its presentation.
Define the fields and actions the role needs
Ask the account manager to describe a routine check. Turn that into a compact requirement list: identify the customer, confirm the owner, inspect related deals and locate the intended follow-up action.
For each element, record why it belongs in the view. Give essential identity and relationship details a clear place. Keep less frequent reference information available without letting it dominate the first screen.
Use a worksheet with the element, its source field or relationship, intended audience and test record. Mark any missing information as a data or configuration task. Do not use a new layout to conceal uncertainty about what a field means.
If the team needs another field, define its purpose through the custom field checklist. If they need a rule about acceptable input, review the validation rule checklist. Layout design and data rules should support the same task.
Build the layout in Canvas Builder
Open Setup > Customization > Canvas Builder. Canvas uses a drag-and-drop editor, and its views can include related lists. Start with a suitable template or a simple arrangement rather than trying to display every field at once.
Organize the account-manager example into a clear reading order. Put identity and ownership first, useful contact information next, then related work and the relevant actions. Label sections in the language the team uses.
Place related lists where they answer a question about the record. Check that the list is the relationship you intended, not a similarly named collection. Use tabs or other available controls only when they reduce searching rather than add another place to look.
Populate the design with real-looking sample values before adjusting spacing. Test a long name, a missing phone number and an unusually long label. A balanced screen filled with short placeholder values can still fail when ordinary data arrives.
Apply the design and verify access
Before applying the design, write down its audience and expected launch location. Check the assignment options in the current account and apply the approved choice. Then open the intended record as a representative team member.
Verify field and record access separately from appearance. Seeing a field in the editor does not prove that a user should see its value. Removing a visible element is not evidence that the underlying information is restricted.
Use the record access review when the user sees too much or too little. Compare the same record under the administrator and target user's access to separate design assignment from permission problems.
If users should not change the view, check Zoho's current help docs for the controls available on that surface. Apply and test the actual restriction rather than relying on the absence of a visible shortcut in one screenshot.
Test attachments, portal display and narrow screens
For attachments, begin with a record that contains an approved sample file. Check whether the intended attachment control is available on the chosen Canvas surface and whether the user can perform the required action. Do not promise upload support from appearance alone.
Compare a failing Canvas action with the same record's expected behavior outside the custom design. That helps you distinguish a missing control from a record-access problem. Record the user, surface and exact result before changing the layout.
For portal display, verify supported controls in the portal setup guide. If you need conditional field display, check current documentation for that exact portal surface. Visual hiding should not substitute for field permissions.
If the layout starts skewing or adds scrollbars, inspect long field values, container widths and recently added elements. Test the web and mobile designs with the same data. Change one likely cause at a time so you know which adjustment resolves the problem.
Ask the AI Assistant to build and refine the view
The Zoho CRM AI Assistant can build and apply a Canvas design, arrange CRM fields and related lists, and check the configuration against your team rules. Give it a role, a task and a small set of representative records.
Build an account-manager Canvas detail view with identity and ownership first, contact details next, and related deals and next actions clearly grouped. Show the proposed field sources and audience assignment. After approval, apply it and check complete, incomplete and long-value sample records.
It waits for your approval before saving the Canvas design and assignment changes. Review the proposed design and assignment before execution, then inspect the saved result under the intended user's access. Ask for unresolved controls or missing fields to be listed explicitly.
It can also configure supporting CRM layouts, workflows, Blueprint, functions and reports. It does not operate a third-party design tool or another product. Keep user feedback tied to the actual CRM screen and task.
Reuse templates and maintain the design
Canvas supports reusable saved presets. Reuse a tested pattern when another team has a similar need, then check its fields, audience and relationships again. A familiar appearance does not prove the underlying configuration is appropriate.
Name the design by role and purpose. Record its maintainer and the sample records used for testing. Save the relevant team rules so future changes have a clear reference.
Retest after renaming fields, changing access or adding related information. If the team begins asking the screen to guide a multi-step action, evaluate the kiosk guide against that requirement. Keep the Canvas view focused on helping people read and use the information they need.
