Zoho CRM quotes: from product lines to a follow-up plan

Create Zoho CRM quotes with the right products, prices, and terms. Check totals, plan follow-ups, and let the AI Assistant manage quote updates and next steps.

A quote needs more than a plausible total. You need the right customer, products, prices, terms, and next decision. Build one example carefully, then use the same checks when you revise or convert it.

Choose native Quotes or a finance integration

Zoho CRM's native quotes include products, quantities, pricing, and terms. Use the native route when your requirement is a sales quote managed with your CRM records. If your process depends on a separate finance or inventory system, decide which system owns the commercial document before configuring anything.

Write down who maintains product prices, who approves terms, where the accepted quote is recorded, and which application creates downstream documents. Check Zoho's help docs for the integration you intend to use. Do not assume that connecting applications transfers every field or supports every conversion you need.

This walkthrough concerns a native CRM quote. Treat finance-system behavior as a separate test. The products guide covers catalog preparation before you start selecting lines.

Prepare products, prices, and customer details

Use a fictional support-package opportunity. Confirm the target deal, account, contact, and quote owner from their identifiers. Gather billing details, the intended validity date, approved terms, and the exact scope being offered.

Prepare a short line-item worksheet. For each line, record the product, quantity, price source, description, and any approved adjustment. If a price or tax treatment is unresolved, stop and ask the responsible person. A missing commercial decision should not become an arbitrary value in a customer document.

Check whether you need a price book and which one applies. Record the choice so the reviewer can reproduce the price. Keep a copy of the approved requirements beside your test results; comparing the quote only with itself will not catch a misunderstood request.

Create and inspect the quote

Create the quote and select products from the Product Name dropdown. Zoho documents that a price book lookup can supply a line item's list price. Its quote creation guide also documents cloning and conversion.

Enter the agreed quantities and inspect the resulting line prices. Where your form exposes tax and discount fields, use only values approved for this transaction. Check Zoho's help docs for their current calculation behavior. This guide does not establish a tax rate or recommend one.

Save the quote, then reopen it. Compare each product, quantity, description, adjustment, and total with the worksheet. Check rounding and whether your comparison uses a subtotal or a final total. Two values can differ because they represent different things.

If you clone a quote, review every inherited value. Old dates, terms, customer details, or scope can survive in a document that otherwise looks ready. Confirm the new record's associations before treating it as a current proposal.

If a product description does not appear as expected, compare the product record, saved quote line, and customer-facing output separately. Check the relevant field mapping and template in your current setup. Avoid assuming that changing the catalog description will automatically repair every existing quote.

Ask the AI Assistant to prepare and check it

Give the Zoho CRM AI Assistant explicit requirements:

Prepare a native CRM quote for the identified deal using the listed products, quantities, price book, validity date, and approved terms. Show the line items and proposed totals. After I approve, save it and compare its final amount with the deal amount. Explain any difference before proposing a deal update.

The Assistant carries out CRM work on request and changes data only after approval. It can also adjust a CRM field, workflow, report, or function when you ask for the surrounding setup. It does not operate a separate finance application; prepare that handoff and verify it through the relevant system.

Use the deal versus quote amount check to investigate discrepancies. Check whether both amounts cover the same version, currency, scope, and treatment of adjustments. A mismatch is a question to resolve, not an instruction to overwrite the deal automatically.

If a value remains uncertain, have the Assistant list it as an exception. After the approved write, open the saved quote and deal yourself. The result should match the reviewed proposal, including the record links.

Track a decision and a dated follow-up

Agree who will follow up and what answer they need. “Check quote” is less useful than “Ask the buying contact whether the revised coverage meets the requirement before the quote validity date.” Use an actual due date and a named owner.

Ask the Assistant to find quotes in your chosen scope with approaching validity dates or no recorded decision. Review the list before creating tasks. Use the expiring quotes check and quotes without a decision check as concrete starting points.

Check for an existing follow-up so you do not create overlapping work. If you want recurring automation, define when it should run, who receives the task, and how repeat tasks should be avoided. Test an ordinary quote and an exception before relying on the rule.

For a default VAT percentage, first get the approved business requirement. Then check Zoho's help docs for supported configuration in your account and test the saved totals. Do not apply a blanket percentage merely because a forum question suggests one.

Convert an accepted quote

A native quote can be converted into a sales order or invoice. Before conversion, identify the accepted quote version and confirm the final customer details and terms. Custom quote fields must be mapped to corresponding order or invoice fields before conversion.

Check those mappings with a sample, including a meaningful custom value. Open the resulting document and compare its source association, lines, totals, and custom fields. The sales order guide explains the next handoff, while the invoice guide covers the alternative path.

If you need a PDF through an API, check Zoho's help docs for the currently supported endpoint, permissions, and document behavior. Test the actual output rather than assuming a record response is a downloadable quote. For images, check both field support and the document template before adding them to your process.

Finish by confirming the receiving owner and remaining task. A successful conversion is only useful when the saved downstream document contains the accepted commercial details and someone owns the next step.
