Zoho CRM custom function: create, deploy, and invoke

Create and deploy a Zoho CRM custom function with clear inputs, deliberate invocation, and record checks. Ask an AI assistant to build and test the CRM logic.

A custom function packages the procedural logic you need for a defined CRM job. Start with the expected record change, then choose its inputs and invocation route. Creating the function is only part of the job; you also need evidence that it ran against the intended record and produced the intended result.

Use a fictional contact cleanup: normalize a supplied value using an approved mapping, update only the designated field, and report anything that cannot be matched safely.

Decide whether a custom function is needed

Describe the requirement without code first. Write down the source value, transformation, destination field, and exception policy. If an ordinary workflow action can express the required behavior clearly, evaluate that before adding a script to maintain.

A function becomes a candidate when the requested logic needs a sequence of checks or transformations. Keep the first version narrow. Do not combine contact cleanup, invoice creation, and customer notifications simply because one script could attempt all three.

For a basic follow-up pattern, review task after quote sent. For field consistency, start with standardize picklist values.

Define success and failure before deployment. A missing source value should produce a clear exception, not a guessed replacement.

Choose the function category and inputs

Separate workflow automation from independent invocation. Decide whether the requirement belongs to an Automation function associated with a business event or a Standalone function you intend to call deliberately. Zoho's V8 creation guide identifies Standalone as the category for independent invocation or calls from other functions.

For the fictional cleanup, define inputs for the record ID and the approved mapping context. Confirm the module and field API names separately. Do not use a contact name as a substitute for an explicit identifier.

Document missing-input behavior, accepted values, and the expected result format. For a workflow version, write down which CRM value should supply each argument. For a standalone version, write down what the caller must provide.

If a variable is undefined, compare its declaration, spelling, scope, and input mapping. A field existing in CRM does not prove that your function received a variable with the same name. Check the Deluge guide before copying syntax from an unrelated context.

Create and test the function in Developer Hub

Use the current Developer Hub function controls and check the account interface against Zoho's help docs. Name the function for its narrow purpose and retain the category and input decisions with its source.

Use this logic plan before writing executable code:

Require the intended record ID and mapping.
Read the record and capture the original destination value.
Reject missing or ambiguous source values.
Compute the approved replacement.
Skip a record that is already correct.
Update only the intended field.
Inspect the write result and read the record again.
Report the record ID, outcome, and exception reason.

This is pseudocode, not a paste-ready Deluge implementation. Build the actual code using the current task signatures and your field API names.

Test a normal value, an already-correct value, a missing input, and an unmapped value. Confirm that exceptions leave the destination unchanged. Keep original values for reviewed recovery.

If you need one function to change two modules, define each record identity and write result separately. Plan what happens if the first change succeeds and the second fails. Do not equate a single function invocation with an all-or-nothing business transaction.

Deploy through the current Functions API when appropriate

The current creation endpoint is POST /settings/functions under CRM V8. It accepts multipart/form-data with function metadata and optional code. Use the Create Function API guide for the exact metadata and OAuth requirements.

For Deluge, implementation code can be supplied through _code or a .ds file. If both are provided, the code file takes precedence. Choose one reviewed source so your deployment does not accidentally publish a different implementation from the one you inspected.

Supplying Deluge implementation code automatically publishes the function. Review the code and intended environment before sending the creation request.

For a curl-based deployment, prepare the metadata file and code artifact, then use the current guide's multipart example with your account's API domain and authorized token. Do not paste credentials into source control or logs.

For an existing function, check the current update documentation rather than reusing the creation request blindly. Preserve the prior working source, metadata, trigger mapping, and recovery instructions before changing it.

Associate a trigger or invoke the function deliberately

For the workflow version, follow the verified workflow association walkthrough. In the current Workflow Rules setup, select the relevant module and event, add the function action, map its arguments to the intended CRM fields, and review the rule before activation.

Test with the same values used in the editor. A working editor test does not prove that the workflow supplied the correct record ID.

For independent invocation, use the separate Standalone trigger reference. Follow its Standalone REST API setup route in the function editor, review authentication, and use the endpoint and request format documented for that function. Check the current guide before executing; do not manufacture an invocation URL by changing the creation endpoint.

If the implementation uses outbound requests, review Deluge invokeurl separately. Deployment, invocation, and an outbound call are different steps to verify.

Inspect execution logs and read back the CRM change

Check the current function execution and failure views in Developer Hub using Zoho's help docs. Match the invocation time, function, and input record with the expected test.

Then read the actual destination record. Compare the saved field with the approved replacement and check that unrelated fields were preserved. For multiple-module work, verify every intended record independently.

If the workflow did not produce the expected change, use workflow investigation. The workflow guide provides the broader trigger context. Fix the evidenced cause before retrying records whose final state is uncertain.

Let the AI Assistant build, deploy, and validate the function

The Zoho CRM AI Assistant can build the logic, create or update the function, configure the requested CRM trigger, and verify test records. It deploys the proposed function and changes CRM records after your approval.

Build a narrowly scoped contact-cleanup function using this approved mapping. Propose the category, record-ID input, exception behavior, and invocation route. Preserve the working revision. After approval, deploy it, run the agreed test cases, inspect execution results, and read back affected records. Report partial failures and a reviewed recovery plan.

It can also handle CRM fields, layouts, workflows, Blueprint, reports, imports, and cleanup. Any external application setup must be completed by its responsible operator. Keep external setup with their owners and require the assistant to verify the CRM side before reporting the work complete.
